Four survey tools for England research, read from their own documentation

Compare four survey tools for England research through documented form controls, exports and supplier evidence, with privacy and testing limits stated.

What to take away

  • The right tool fits a documented study, your account controls and a reviewed data-processing plan.
  • No ranking is given, and that is a findingsupplier pages describe capability, not whether a form is safe.
  • Data location, sub-processors and a deletion date stay open until you check them.
  • Plan tiers differ on seats and response ceilings, so no static price table would hold.
  • Tool choice cannot repair a weak sample or an unclear record of who replied.

Which tool fits which situation

Google Forms suits low-risk internal research inside a managed Workspace, while Microsoft Forms suits teams bound by a Microsoft 365 tenant policy. SmartSurvey fits studies needing UK-hosted response storage. Typeform fits studies needing conditional paths and integrations.

What each supplier's own record establishes

The four records in scope are Google Forms, Microsoft Forms, SmartSurvey and Typeform. Our export evidence review applies the same narrow test used below.

Four tools, evidence and open questions

Google Forms

Microsoft Forms

First-party record

SmartSurvey

Typeform

First-party record

What the record establishes

Google Forms
Surveys and quizzes, collaborator access, live response review, a route to Sheets
Microsoft Forms
Question types, sections, preview, documented branching; responses can open in Excel
SmartSurvey
Supplier-stated logic, distribution routes, reporting, exports, UK response-data hosting claims
Typeform
Plan allowances, conditional logic, webhooks, integrations on some offerings

Decision still open

Google Forms
Responder access, administrator controls, storage and contract terms
Microsoft Forms
Which capabilities apply to your Microsoft 365 account and tenant policy
SmartSurvey
Plan entitlement, assurance evidence, controller-processor split
Typeform
Applicable plan, data location, sub-processors, contracted cost

Google Forms documentation confirms creators can build forms, share editing, collect responses and analyse them live or in Sheets. That proves capability, not that sharing settings or question wording are safe.

SmartSurvey's own page states logic, distribution routes, reporting, exports and UK response-data storage. Ask for the assurance documents and the deletion process behind those claims.

Microsoft Forms and Typeform say less in public about hosting and sub-processors. Test both inside your own tenant before a real respondent sees a form.

Data location, sub-processors and UK GDPR anchors

The ICO's data protection principles cover purpose limitation, data minimisation, storage limitation and accountability. Storage limitation is the one survey teams most often miss.

Setting a deletion date before collection makes retention a design choice rather than a cleanup task.

Where a supplier processes data outside the UK, you need a transfer mechanism, such as an adequacy finding or the International Data Transfer Agreement. The retained UK GDPR sets the core rules, and the Data Protection Act 2018 adds UK duties.

Ask for the current sub-processor list, the notice period for changes and your right to object. Our measurement contract questions set out the data roles and exit terms that shape those answers.

Plan tiers and where to find comparable pricing

No comparable price table exists here. Plans differ by currency, tax treatment, response limits and enterprise terms, and Typeform's global pages use US-dollar pricing.

Request an England-specific quote covering VAT, seats, response ceilings and overage.

A controlled selection exercise

Run the exercise on synthetic data, so no real respondent is exposed while you compare tools.

  1. Draft ten realistic questions and two branching paths using fake responses.
  2. Ask each shortlisted supplier to demonstrate respondent access and editor permissions.
  3. Export a synthetic response set and inspect column names, timestamps and hidden identifiers.
  4. Ask how a participant access or deletion request would be handled, and in what timescale.
  5. Request the sub-processor list, hosting location, retention defaults and security certification.
  6. Record the plan name and the date, because feature availability changes between checks.
  7. Fix the retention period and the deletion route in writing before collection starts.

Controlled selection exercise

  1. Draft ten questions, two branching paths
  2. Use fake responses only
  3. Ask suppliers to demonstrate access
  4. Demonstrate export, deletion, audit evidence
  5. Record plan and date
  6. Apply ICO data protection principles
  7. Have privacy specialist review questionnaire

Our supplier reviews show how little public evidence some England vendors publish, which is why a demonstration beats a brochure.

Before you invite respondents

  • Set a deletion date for raw responses and write it into the study record.
  • Confirm the lawful basis and the participant-facing privacy information.
  • Test respondent access and editor permissions with synthetic data.
  • Check the sub-processor list and the notice period for changes.
  • Document who was invited, who replied and which responses were removed.

Common questions

Is one of these four tools the best choice?

No single tool wins here. Each suits a different situation, and the deciding evidence sits in your tenant, your contract and your privacy review.

Where is respondent data stored, and who are the sub-processors?

SmartSurvey states UK response-data storage on its own pages. Google, Microsoft and Typeform terms vary by plan and region, so request the hosting location and sub-processor list for the plan you would buy.

What does the pricing comparison show?

Nothing comparable. Currency, tax, response limits and enterprise terms differ, so this article carries no price table and asks buyers to request an England quote including VAT.

What must I verify before inviting respondents?

Test access, permissions, export format and deletion with synthetic data. Then set a retention date, confirm the lawful basis and check the sub-processor list.
